Microsoft 365 Security Checklist for Small Businesses

Email and shared documents are often the front door to a company’s work. A few deliberate Microsoft 365 settings can reduce avoidable exposure and make account changes easier to manage.

Microsoft 365 can be straightforward to use while still being difficult to govern. Over time, staff join and leave, external sharing expands, and administrative access gets handed out to solve urgent problems. A periodic review puts ownership back in view.

Protect sign-in and administrator access

Enable MFA for every user, with stronger controls for administrators and accounts that can access sensitive data. Keep everyday work separate from administrator tasks, limit the number of privileged accounts and document who approves access changes.

Review authentication and sign-in alerts where available. If a user reports an unexpected approval request or unusual sign-in, provide a known route to report it and a clear owner who can revoke sessions and reset credentials.

Review email and sharing defaults

Check external forwarding rules, mailbox permissions, shared mailboxes and guest access. Confirm that file-sharing links have sensible audiences and expiry expectations. The goal is not to block all collaboration; it is to make external access intentional and reviewable.

For finance and executive accounts, consider additional safeguards against impersonation and payment redirection. Establish a second channel for verifying changes to bank details or urgent payment instructions. Technology can flag risk, but a consistent approval process closes the human gap.

Make joiners and leavers predictable

Write a short checklist for new staff: account, licence, device, groups, required apps and data access. For departing staff, decide when sign-in is blocked, how business data is transferred and who approves mailbox access. Avoid leaving active accounts “just in case”.

Check recovery and ownership

Know what Microsoft’s built-in retention covers and where separate backup or retention controls are needed for your business requirements. Test access to critical records and assign someone to review admin roles and sharing settings on a schedule.

A managed IT partner can help configure and review these controls. Ask for a short record of what changed, why it changed and who owns the next review—so your tenant stays understandable as the business grows.
