A Simple Device Management Plan for a Growing SME

A laptop is not just a purchase. It carries access to company email, files and customer work. A basic lifecycle plan helps staff get productive while keeping devices accountable.

In a small team, devices often arrive through a mix of purchases, hand-me-downs and personal equipment. That flexibility can help a business move quickly, but it also creates uncertainty: who owns each device, what is installed and what happens when someone leaves?

Create a useful inventory

Record the assigned user, device type, serial or asset number, operating system, purchase date, warranty and business-critical software. Keep the list simple enough to maintain. The purpose is to know what the company supports and which device needs attention—not to collect data nobody will use.

Decide which roles need a standard device and which need specialised equipment. A consistent baseline makes support easier, while exceptions can be documented with a business reason and an owner.

Build onboarding and maintenance into the lifecycle

Before a device reaches a new employee, apply updates, configure encryption and endpoint protection, set up the approved account and verify access to required tools. Give the user a short guide for reporting loss, suspicious activity or a hardware fault.

During use, assign responsibility for security updates, backups and warranty issues. Establish what “replace” means: age alone is not enough; battery health, repair history, compatibility and the cost of downtime matter too.

Plan for remote work and departure

Remote staff need a clear method for secure access and a way to get help if the device is unavailable. For a lost laptop, staff should know whom to call immediately so access can be disabled and the incident assessed.

When employment ends, revoke accounts and sessions, recover company equipment, transfer business files and securely erase or reassign the device. Personal devices require an agreed boundary so business information can be removed without disrupting private data.

Dispose of devices deliberately

Before resale, donation or recycling, verify that storage has been securely wiped and that any removable media is accounted for. Update the inventory and licence records. A simple lifecycle checklist reduces forgotten accounts, emergency purchases and avoidable support work.

Managed IT support can maintain the inventory and coordinate setup, updates and retirement. Keep the policy proportionate: clear ownership and repeatable steps matter more than a complicated device-management platform.
